What we can supply for a PQQ or onboarding

Ask once and we send the pack. It is the same set every time, so nothing is being assembled specially and nothing takes a week.

• Certificate of employers' liability insurance, showing the indemnity limit and the period of cover
• Certificate of public liability insurance, same
• ISO 9001 certificate, with the certification body and the scope it covers
• LPCB approval documentation
• Health and safety policy, signed and dated
• Quality policy and environmental policy
• Generic risk assessments and method statements, and a site-specific RAMS once we have seen the building
• Company registration details and VAT number
• Bank details on letterhead, for supplier setup

If your onboarding portal needs the pack uploaded rather than emailed, send the invitation and we will complete it ourselves rather than sending you the files to key in.

Working on your site

What a facilities manager usually needs to know before letting a contractor through the door.

Site-specific RAMS

Issued before the first visit, not on the day. If your permit system needs it a set number of days ahead, say so and we will work to that.

Permits and inductions

We work to whatever the site operates. Hot works, confined space, working at height and isolation permits are all normal on this work.

Isolations

Testing a riser or running a pump can mean isolating part of a system. You are told beforehand, the isolation is kept as short as possible, and the system is confirmed back in service before the engineer leaves.

Out of hours

Available and charged at a premium rate. On an occupied building it is often the cheaper option overall, and we will price both ways so you can decide.

Who turns up

Our own engineers on servicing and testing. Where a specialist trade is genuinely needed we say so in the quotation rather than after the visit.

Reporting

A service report and the certificate for the work, with defects listed individually and an indication of how urgent each one is.

Invoicing and payment

Payment terms

Thirty days from the date of invoice.

Project work

Invoiced in full on completion unless something else is agreed in writing beforehand.

VAT

We are VAT registered. Quoted prices are nett, with VAT added at the prevailing rate.

Purchase orders

Send the PO number with the instruction and it goes on the invoice. If your system needs it on the quotation as well, tell us at quotation stage.

Quotation validity

Thirty days for an annual service quotation, ninety days for project work.

Multiple sites

Can be consolidated onto one invoice and one contract, or split by site and cost centre, whichever your accounts system prefers.
