Fire sprinkler servicing under BS EN 12845 is a routine rather than a single annual visit: weekly gauge and alarm checks, monthly and quarterly routines including flow switch proving, six-monthly checks, and a full annual service by a competent contractor. Your own team can hold the weekly checks. The logbook has to be complete either way. Sentry Sprinkler Protection carries out fire sprinkler servicing across England from its base in Kettering, ISO 9001 certified.

Covered on every visit

  • Weekly, monthly, quarterly, six-monthly and annual routines
  • Quarterly flow switch and alarm proving
  • Valve set, gauge and installation control inspection
  • Head condition, clearance and spare stock checks

When it is due

  1. Weekly gauge and alarm check
  2. Quarterly flow switch test
  3. Annual service

The duty sits with whoever controls the premises under the Fire Safety Order 2005. It can be delegated as work, not as responsibility, which is why the certificate matters as much as the visit. How compliance works

What actually goes wrong with a sprinkler system

A sprinkler system fails quietly. Nothing on site changes, nothing alarms, and the building looks exactly as protected as it did. These are the four we find most.

  • A valve left shut after somebody else's work

The commonest serious finding, and the most alarming, because the building is completely unprotected and nothing indicates it. A trade isolates a zone to work on a ceiling, the job finishes, and the valve is never reopened. Monitored valves signal it. Unmonitored ones do not.

  • The flow switch does not prove

The quarterly flow switch test exists because a system that operates and never signals is an unattended fire. The switch, the wiring and the route to wherever the alarm actually goes all have to be proved, and the last of those is the part most often untested.

  • Heads painted, obstructed or the wrong rating

A painted head or one buried behind stock will not operate as designed, and stock stacked too close to a head blocks the spray pattern it needs to develop. The rating matters too: a head chosen for an office will operate too early above a process that runs warm.

  • Corrosion and sediment in older pipework

Older steel systems silt up, and internal corrosion narrows the bore. The pressure at the valve set can look correct while the flow at the remote head is not what the calculation assumed. This is the one that argues for a staged replacement rather than another year of servicing.

Questions we get asked

What does BS EN 12845 actually require?

Weekly checks of water and air pressure gauges plus an alarm test, monthly and quarterly routines including flow switch proving, six-monthly checks, and a full annual service by a competent contractor.

Can our own maintenance team do the weekly checks?

Yes, and most sites do. We will set the routine up, show your team what to record, and cover the quarterly and annual work that needs a specialist. The logbook still has to be complete either way.

Our system has never been serviced. Where do we start?

With a survey. We establish what is installed, what condition it is in and what the hazard classification should be, then put a schedule against it. Older systems often need remedial work before a service means anything.

Does servicing affect our insurance?

It can. Insurers rate premises with a maintained sprinkler system differently, and they will ask for the service record when they do.

What actually happens during the annual visit?

The control valve sets are stripped out, cleaned and reassembled, with new gaskets where the schedule calls for them. The alarm valves are proved on flow and function, the pumps get a full service including oil, filters, alignment and electrical checks, the tank infill valve is checked and lubricated, and an end of line test is carried out.

How long will the system be out of service?

For part of the visit, not all of it, and we work to the shortest isolation we can. We tell you before we start, we ask you to let your insurer know the system will be inoperative for that period, and the engineer confirms it is back to normal operating condition before leaving.

We have changed what we store. Does the service pick that up?

Not on its own, and this is the gap worth knowing about. A service checks the system against how it was designed. Change the goods, the racking or the storage height and the hazard classification may have moved, which is a design question rather than a maintenance one. Tell us and we will review it.

Is this the same as a commercial sprinkler PPM contract?

Yes. Planned preventive maintenance (PPM) for a commercial sprinkler system is the BS EN 12845 routine on this page: weekly checks your team can hold, then the quarterly, half-yearly and annual commercial sprinkler maintenance we carry out on an agreed schedule.

Can you take over a contract from another company mid-year?

Yes, and it happens often. What we need is the existing records so we know where in the cycle you are. If they are missing or thin we will say so and start a clean record from our first visit rather than sign off work we did not see.

Sprinkler servicing for your kind of building

The standard is the same. What changes is the hazard, the design and what an insurer asks to see.

The published documents behind this page

Every interval and threshold on this page comes from one of these. Links go to the publisher, not to a copy of the document.

British Standards are copyright documents and most are bought rather than read free. We hold the ones we work to. If you need to know what one of them says about your building, ask us rather than buying it.

Your system

What it needs
  • Weekly tank level check, pump start test, alarm motor test, system checks
  • Quarterly flow switch and alarm test
  • Annual tank inspection and clean, pump performance test under flow, valve set strip, clean and rebuild, full service

Illustration only. This model shows how a fire sprinkler system works. It is not a design for any real building, and the layout, pipe sizes, head spacing, water supply and riser positions in it are not the ones your building would need. Every real system is designed for its building after a survey, to BS EN 12845, BS 9251 or BS 9990.

  • Sam E. Sprinkler pipework installation

Couldn't recommend [Sentry] enough. Their work ethic, consistent efficient install of the pipework and overall approach to a project should be something every sub-contractor strives to mirror. Marius is incredibly approachable and methodical in his work with laydown areas kept very neat and tidy and all work carried out in a safe manner.
